Can data be requested during RSVP and then displayed in the Check in tool?

yes, this is possible!

STANDARD DATA DISPLAY

Standard data display choices are::

  • Reply status
  • Tags
  • Comment box

Reply status (e.g. accepted or declined) is generally chosen by the recipient/guest and can be additionally manually edited by the organizer.

Tags are very helpful when managing your recipients/guests e.g. using tags to filter a list or group guests, e.g. VIP, press, director A, director B etc.

Comment box can be edited by the organizer per recipient / guest, e.g. using the comment box to display "seating info" or "appointment times". The organizer can manually edit single comment boxes or prepare an excel sheet and upload multiple comments at the same time.

FLEXIBLE DATA QUERIES AND DISPLAY

In addition to the standard data display choices the organizer can define multiple queries on the REPLY PAGE TAB of the event. These queries can be simple text box replies or multiple choice replies with sub-queries.

DATA STORAGE PER RECIPIENT/GUEST

When your recipients reply to your invitation and fill out the necessary data, this data is stored in each recipient contact on the TAB "RECIPIENTS". 

To find this data PLEASE CLICK ON THE NAME OF INTEREST on the tab RECIPIENTS.

A window will open - please to to the tab "CONTACT".

This data is stored here and can also be exported in an excel sheet.

CHECK IN SETTINGS

On the tab CHECK IN you can set which data should be displayed in the CHECK IN ASSISTANT:

CHECK IN ASSISTANT WITH DATA DISPLAY

Below you see an example for the CHECK IN of Ms Alexandra Mustermann, who has arrived with an accompanying guest "Mr. John Snow".

"Alexandra Mustermann" accepted the invitation, works at "Apple" as "Head of Sales", filled out her postal address, agreed to the GDPR data policy agreement of the organizer and chose to be tested for Corona at the event. Additionally the Check In Team can see that she is "not vegetarian" and wishes to have the "chicken" option for dinner.

Thanks to EventKingdom Guest management & Check In Assistant the invitation & Check IN process was smooth and the Check In Team was able to fulfill all the requirements of the organizer / Client.
