How best to cancel an event?

You wish to cancel your event?

We have two options for you.

- A free option which does not include monitoring

- An option with costs stamps and includes monitoring

1. FREE OPTION WHEN USING EXISTING EVENT

1.1. SEND A MESSAGE TO YOUR GUESTS

Please go to the tab RECIPIENTS of your event.

Here you send a free message to your recipients informing them that your event has been cancelled.

Easiest is to go to the SEND button top right and click on MESSAGE/REMINDER in the Drop down.

In the appearing pop up you can the choose the group you wish to inform, e.g. "delivered", "viewed", "accepted" or choose all 3 to send a message to all your recipients.

1.2. ADD CANCELLATION INFO TO YOUR REPLY PAGE or CARD

BEFORE SENDING YOUR MESSAGE we recommend to go to the tab REPLY PAGE of your event  and 1. Change the "I am sending an invitation" to "a card"

2. Add a message to the message box about the cancellation

3. remove the REPLY OPTIONS

We also recommend to edit your card and add cancellation info there.

2. RECOMMENDED USE OF NEW EVENT TO CANCEL AN EVENT:

The main problem with the described free message option above is that the free message does not include monitoring of the sending - to make sure everybody received the cancellation info.

2.1. RECOMMENDED COPYING EVENT INTO NEW EVENT

Due to the missing monitoring to make sure every recipients is informed about the cancellation, we recommend copying your event into a Fresh event.

After clicking on COPY EVENT  (just below the MESSAGES tab) we recommend to copy ALL your recipients. (sometimes recipients, who cancelled do show up)

If you wish you can also copy over just the Accepted recipients.

After clicking OK you create your fresh event with the exact data used in your existing invitation event.

EDIT NEW EVENT

In this new event we recommend similar to the above:

On the DESIGN tab:
- Edit your card and adding the cancellation info.
- Remove the envelope

On the REPLY PAGE tab:
- Set your event to a "card" instead of the existing "invitation"

- Remove the reply options.

On the RECIPIENTS tab:

In this fresh event you can now send out this cancellation card with our efficient monitoring so you can make sure all recipients have received the info.
